You mark the no-show

Every visit closes as held by itself once its time is up - no evening spent reviewing the day. You mark a no-show only when someone really did not turn up, because a false no-show on a patient's record is worse than a missing one.

A visit sheet in Appointomat: the service, its length with the buffer, the phone number and the messages sent, and at the bottom the buttons for arrived, reschedule and cancel.

How it works

By default, a visit happened. A no-show is always someone's decision.

A visit closes by itself, on its own time

Every booked, rescheduled or waiting-list visit closes as held shortly after it ends. A reschedule recalculates that moment, so a visit moved later never closes early.

A no-show is one click - and a counter on the patient

The No-show button appears from the start of the visit. That person's no-show count goes up by one, and you see it on their record when you book their next visit.

A mistake can be undone for a week

A no-show can also be marked on a visit that has already closed, and undone with one button - either way for a week after the visit. The patient's counter moves with it.

Statistics counts only recorded no-shows

Statistics divides no-shows by no-shows plus held visits - visits still open and cancelled ones stay out of the sum. Until something is decided, it says there are no decided visits rather than showing zero, and the figure carries a caption like "3 of 12 decided visits".

A no-show is only a record

A no-show is a counter on the patient and an entry in the statistics. The patient gets no message because of it.

An unmarked visit counts as held, and today a no-show has exactly one consequence: the number on the patient, visible when you book their next appointment.

Two more rungs on the same ladder

The counter on the patient record already works - these two build on top of it.

Planned, not built yet

A booking limit after repeated no-shows

A patient who repeatedly does not show up eventually stops seeing free slots on their link and is asked to call instead.

Planned, not built yet

Funds on the card held for the visit

The card is saved at booking and its funds briefly held rather than charged upfront, so a no-show carries its own cost.

Questions

Does the patient get a message saying they were marked as a no-show?

No. It is only a record in the system - the counter on the patient and an entry in the practice's statistics. No SMS or email goes out because of it.

What if I forget to mark a no-show?

The visit closes as held. For a week after the visit it can still be marked as a no-show - the patient's counter and the statistics correct themselves.

Does the no-show rate in Statistics count visits that have not happened yet?

No. It divides no-shows by no-shows plus held visits - visits still open and cancelled ones stay out of the sum, because nothing is known about them yet or they were never going to happen.
