From a booking to a recovered hour

A patient books on your page or calls, and you put the visit in the calendar. From then on the confirmation, the reminder, rescheduling and the waiting list run themselves.

  1. The patient books

On your booking page they pick a service or a specialist and a free time, with no account to create. You decide which hours are open to new patients and which you keep for visits booked by phone and for your regular patients. You get an email about the booking - in a team, the specialist the visit is with does.

  2. They get a confirmation and a reminder

A confirmation as soon as the visit is booked, a reminder one, two or three days before it - your choice. The confirmation goes by email, or by SMS to a patient without an email address. The reminder goes by SMS, or by email to a patient without a number.

  3. They reschedule or cancel from a link

Every message carries a link to the visit. The patient moves or cancels it in one tap - and confirms too, if you ask them to - and your calendar changes at once.

  4. A freed hour goes to the waiting list

After a cancellation, Appointomat offers the time to the next people on your list, in order and with a deadline to answer. The first to accept gets the visit.

  5. You see whether it pays

"Statistics" shows each month's completed visits, revenue, how full your working hours were, and cancellations.

The texts a patient without an email address gets: a confirmation right after booking and a reminder the day before the visit, both with a link to change it.

See what a patient sees

Setup: about half an hour

The wizard asks three things; the rest you set on screens you use every week anyway. You can stop at any step and come back later - the account works right away.

  1. 2 minutes

    You create an account

An email address and a password, then a confirmation from your inbox. The wizard asks for your practice name, your time zone and your booking page address - it suggests one from the practice name.

  2. 10 minutes

    You enter your working hours

Check the weekdays and give the hours, with a break if there is one. Separately, choose when new patients may book online: not at all, in chosen windows, or in every working hour. Add time off when it comes up.

  3. 10 minutes

    You add your services

A name, a length, a price and a buffer after the visit. In a team, you check who provides each service.

  4. 1 minute per person

    You add your team

A name, an email and a role. A specialist gets their own calendar and an emailed invitation, and can enter their working hours themselves. Working alone, you skip this step.

  5. 5 minutes

    You send the link

The booking page works immediately. Put the link on your own site, in your Google Maps listing and at the bottom of a text message. From the first booking onward, confirmations and reminders run themselves.

Roles in a team

Everyone sees the practice's shared calendar; the role decides what they may change in it.

Owner
Everything, including the team, settings and billing.
Specialist
Visits and patients, plus services and working hours.
Reception
Visits, patients and the waiting list. No changes to services or hours.

Everyone who sees patients takes a seat in the plan: up to three on Team, up to six on Clinic.

Moving in from your current system

Patients from a CSV file

Most records systems export a patient list to CSV. You upload the file and point out which column is the name, the phone number and the email - the columns can be in any order.

The first message comes with the first visit

Uploading patients sends no message at all. A patient gets the first one when you book them a visit.

Future visits from a file or by hand

If your old system saves visits to a file with a date and a time, you load them the same way as patients; if not, you enter them by hand. Visit history stays in the system that holds it.

If you are not sure whether your system exports patients, write - we will check and answer before you try it.

Questions

Do I have to give up my records system?

No. You keep your records where they are and move the schedule here. To keep both calendars in step, Appointomat can read busy time from an external one. A physiotherapy practice in Poland can also keep its medical record here: you ask for it in the account settings.

Do I need my own website?

No. The booking page has its own address and works on its own. If you have a site or a Google Maps listing, you add the link to it.

What if after a month I decide it is not for me?

You export each patient with their visits to a file, at any time and on your own, and stop. No notice period.

Start with your own week
