A calendar for a physiotherapy practice

You book the next visit in a course from the patient's record, a canceled hour goes to the waiting list on its own, and new patients book online only in the hours you open to them.

A day in a physiotherapy practice's calendar in Appointomat: visits with their time and service, and beside them a visit sheet with a "Book next" button.

What looks different in physiotherapy

A patient comes in a course

Ten weekly visits at the same time are one person and one course of treatment. The patient record shows that person's visit history, and you book the next appointment straight from it.

Some hours stay with patients mid-treatment

A patient mid-treatment who has to be fitted in matters more than somebody new off the internet. That is why when you work and when somebody new may book are two separate settings - new patients can get Tuesday afternoons only, while your own patients and the waiting list get the whole week.

The waiting list exists and it is long

In a practice with a full schedule somebody is always waiting for a canceled hour - they only need to be asked. The system asks people down the list by itself, in order and with a deadline.

A no-show costs an hour of your time

The no-show counter sits on the patient and you see it when you are booking their next visit. A visit nobody marks closes on its own as held; a no-show is one click, and you can undo it for a week.

Records: keep your system, or keep them here

You stay with your own system

Only the schedule moves here. Appointomat reads busy time from that calendar so it cannot book you twice into the same hour.

Or you keep the medical record here

Initial assessment, visits and discharge, signed in the system. The record is switched on by request, from the account settings.

Reporting medical events to P1 is not there yet - until it is, the system that sends them is still needed.

Patient data and the GDPR

In the European Union

The database is in Belgium, text messages go out from Ireland, email from France. No sub-processor takes patient data outside the European Economic Area - the list is published and changes with 30 days' notice.

A data processing agreement, ready to read

Patient data is yours. Appointomat is a processor acting on your behalf, and the Article 28 GDPR agreement is published in full and accepted when the account is created.

Export and erasure, without asking

You export a patient and their visits to a file at any time. Erasing the data is a separate button, because the GDPR requires both.

No cookies on the booking page

The page a patient lands on stores nothing in their browser and does not track them. The link in a reminder covers one visit and expires with it.

Questions

Is this a medical device?

No. The medical record in Appointomat stores codes and text, but it never scores, suggests or chooses a treatment - the decision stays with you. Without the record switched on, a service name in the calendar is just a service name, not a diagnosis.

Will you sign a data processing agreement?

Yes - patient data is yours and Appointomat is only a processor acting on your behalf. The document is published together with the list of subprocessors and where the data is held.

What if I have two practitioners?

The Team plan covers up to three practitioners, Clinic up to six. Each has their own schedule, their own working hours and their own new-patient setting - a patient picks a service or a particular person.

Is there any consequence for a patient after no-shows?

Today the counter is the only one: you see it on the patient and decide yourself. A booking limit after no-shows and a hold on a card are on the roadmap, marked as not working yet.
